The Oklahoma Wedding Show Rules & Regulations

The following terms, conditions, rules and regulations are part of and incorporated within the terms of The Oklahoma Wedding Show Exhibitors Contract to which this is attached:

DEFINITIONS:

a. “Management” means Schuman Publishing Company, producer and owner of The Oklahoma Wedding Show.

b. “Exhibitor” means the company executing the The Oklahoma Wedding Show Exhibitor Contract.

c. “Contract” means the The Oklahoma Wedding Show Exhibitor Contract to which this is attached.

d. “Event” means The Oklahoma Wedding Show to be held on January 17, 2015, in Tulsa, Oklahoma.

e. “Space” means the area at the Event assigned to Exhibitor.

RULES & REGULATIONS

Exhibitor shall be bound by the rules and regulations set forth herein and by such amendments or additional rules and regulations which may be established by Management. The Contract is binding upon Exhibitor upon execution by Exhibitor and Management. Cancellations are not accepted. Exhibitor will not receive a separate invoice covering Exhibitor’s fees under the Contract and Exhibitor will be required to pay the same by the due date(s) as set forth in the Contract. In the event that Exhibitor fails to attend the Event, Management will retain the Exhibitor’s fee as liquidated damages. Exhibitor shall not be credited for any income that Management receives from reassigning or re-leasing the space location to any other party in the event Exhibitor fails to attend the Event. Fees cannot be reassigned toward print advertising in Oklahoma Magazine.

If, for any reason, Management determines that the location of the Event should be changed, or the dates of the Event rescheduled due to weather, unforseen circumstances, etc., no refund will be made, but Exhibitor will be provided the same benefits and space at the rescheduled Event. Management shall not be liable to Exhibitor or otherwise have any obligation to Exhibitor if the Event is canceled, postponed or relocated, except as specifically provided herein.

It is expressly understood and agreed by the Exhibitor that Exhibitor waives and releases Management from, and agrees to indemnify and hold harmless Management from any and all claims, damages, losses, costs, expenses, attorneys fees and liabilities relating to, arising from or for a) any loss, damage, theft or destruction of goods, merchandise, equipment or property, b) any injury that may occur to Exhibitor or Exhibitor’s employees, representatives or agents, while preparing for, traveling to or from, or participating in the Event, or c) any damage, liability, claim or loss of any nature or character whatsoever suffered or incurred in connection with the Event, including damage to Exhibitor’s business, by Exhibitor or its agents, employees, guests and invitees, arising out of or relating to the custody, possession, operation, maintenance, control or use of the Space.

Exhibitor shall not exhibit or permit to be exhibited in the Space any article, goods, product or services other than those specifically set forth in the Contract. Exhibitors who assign, sublet or share Space with any other business or entity not specified in the Contract shall be charged an additional $250 per business or entity by the Management. At least one representative of Exhibitor shall be present at all times during the Event. The Contract also is subject to the terms of the agreement between the Location and Management. Management does not guarantee any specific number of attendees for the Event. Space assignment is solely within Management’s discretion. The Space is 8’ x 10’ with one 8’ covered table, skirting and one 7”x 44” ID sign.

Electric receptacle must be ordered in advance at the costs stated in the Contract. Exhibitor must ensure that all cords and connections are taped securely down and free from all walkways. Exhibitor is responsible for removing everything from the Space at the conclusion of the Event and shall leave the Space in a “broom clean” condition. If the Space is not adequately cleaned, Exhibitor will be charged a $100 cleaning fee. Exhibitor shall be liable for any damages to the table, walls, materials and decorations provided for the Space. All displays, exhibit material or decorations provided by Tradeshows & Exhibits Inc. shall remain the property of the same.

Each Exhibitor shall comply with all applicable rules, regulations, laws and ordinances. Hazardous materials and weapons, including firearms, are prohibited. Any unusual equipment or machinery must be approved by Management. Management reserves the right to restrict the operation or evict any Exhibitor prior to or during, which in its opinion, detracts from the general character of the Event. Exhibits which include the operation of musical instruments, radios, sound projection equipment, public address systems, or noise-making machines must be maintained to a level that allows other Exhibitors in surrounding spaces the ability to communicate with attendees at a comfortable level. All music must be conducted or arranged so that the sound resulting from the demonstration will not annoy or disturb adjacent Exhibitors and their patrons, nor cause the aisles to be blocked.

Vendors participating in The Oklahoma Wedding Show must agree not to disclose any information or contracted arrangements regarding their participation in the show including, but not limited to, advertising rates, booth charges or other arrangements made between The Oklahoma Wedding Show and the vendor. Breach of confidentiality will result in termination of your participation in The

Oklahoma Wedding Show and Management will retain the exhibitor’s fees as liquidated damages. Exhibitor shall not be credited for any income that management receives from reassigning or releasing the space location to another participant.

All demonstration or other activities must be confined to the limits of the Exhibitor’s rented space. Distribution of circulars may be made within the space assigned to the Exhibitor presenting such materials. Exhibitors may not distribute advertising circulars or devices in the aisles, registration areas, lounges or grounds of the show facility.

All materials must be brought to Event site the day of the Event, unless other arrangements have been made with Management in advance.

  • Each Exhibitor is allowed two representatives per booth space. Any additional representatives must pay admission.
  • Exhibitor will observe all parking, loading and unloading rules posted by facility.
  • Exhibitors must have their booth set up no later than 9 a.m. the day of the show.
  • Management reserves the right to determine the number of vendors exhibiting in a specific category.
  • Amendments to this contract must be agreed to in writing by Exhibitor and Management.
